Depending on your account, role, and permissions within the ERP system, the App may access information including:

Account Information

• Name
• Email address
• Phone number
• Employee ID
• Username
• Profile information
• Account and authentication information

Employment and Business Information

Depending on the features available to your account, the App may display or process:

• Employee information
• Department and job information
• Attendance check-in and check-out
• Leave requests and leave history
• Leave allocations
• Payroll and payslip information
• CRM contact information
• Other business information available to your authorized ERP account

Communication Information

If enabled for your account, the App may provide access to internal communication features, including:

• Chat messages
• Conversations
• Channels
• Files or attachments shared through the ERP system
• Other internal communications

02 How the Mobile App Works

The App does not replace or operate as a separate ERP database.

The organization already maintains an ERP system that manages business and employee information. The App connects to that existing ERP system through Application Programming Interfaces (APIs) and securely retrieves information that the authenticated user is authorized to access.

When you submit information through the App, such as a leave request, message, or other business transaction, that information is transmitted to and processed by the organization's ERP system.

03 How We Use Information

Information accessed or submitted through the App may be used to:

• Authenticate users
• Provide access to authorized ERP functionality
• Display employee and business information
• Manage attendance check-in and check-out
• Submit and manage leave requests
• Provide access to payroll and payslip information
• Facilitate internal communication
• Maintain the security of the ERP system
• Troubleshoot technical problems
• Maintain and improve the App and related services

We use information only for legitimate business and operational purposes.

04 Authentication and Account Access

The App requires users to authenticate using credentials associated with their ERP account.

Access to information and functionality is controlled by the user's existing ERP account and permissions.

Users may only access information and functions for which they have been authorized by the organization.

05 Data Transmission

The App communicates with the organization's ERP system through API connections.

Information transmitted between the App and the ERP system may include account information, employee information, business records, messages, and other information necessary to provide the requested functionality.

06 Data Storage

The primary ERP records accessed through the App are maintained by the organization's existing ERP infrastructure.

The mobile application may temporarily store certain information locally on the user's device to improve functionality, performance, or user experience.

This may include:

• Authentication or session information
• Cached application data
• Other information required for the App to function

The App does not create an independent replacement for the organization's ERP database.

07 Push Notifications

The App may use push notification services to deliver important business-related notifications.

Notifications may include:

• Leave request updates
• Leave approval or rejection notifications
• Attendance-related notifications
• Internal messages
• Other ERP-related notifications

The App may use Firebase Cloud Messaging (FCM) to deliver push notifications.

A device or application notification token may be processed for the purpose of delivering notifications to the appropriate device.

08 Data Sharing

Information accessed through the App may be available to authorized employees, administrators, managers, or other users within the organization according to their ERP permissions and roles.

We may also use third-party service providers that are necessary to operate certain App functionality, such as push notification services.

These providers receive only the information necessary to provide their respective services.

09 Third-Party Services

The App may use third-party services to provide certain functionality.

10 Data Retention

ERP information is retained according to the organization's business requirements, policies, and applicable legal obligations.

Information submitted through the App may become part of the organization's ERP records and may therefore be retained according to the organization's ERP data-retention policies.

Some temporary data stored locally on the device may remain until it is removed by the App, the user, or the operating system.

11 Data Security

We take reasonable technical and organizational measures to protect information against unauthorized access, loss, misuse, alteration, or disclosure.

Security measures may include:

• Secure HTTPS communication
• Authentication and authorization controls
• Role-based access controls
• Secure server infrastructure
• Protection of authentication and session information
• Monitoring and maintenance of the ERP infrastructure

12 User Responsibilities

Users are responsible for protecting their ERP login credentials and for preventing unauthorized access to their devices and accounts.

Users should not share their passwords or authentication credentials with other individuals.

If you believe that your account has been accessed without authorization, you should immediately contact your organization's administrator or contact Zergaw Cloud using the information provided below.

13 Children's Privacy

The App is designed for authorized employees and business users.

The App is not directed toward children and is not intended to knowingly collect personal information from children for the purpose of providing the service.

14 Your Rights

Depending on applicable law and your organization's policies, you may have rights regarding your personal information, including the right to:

• Request access to personal information held about you
• Request correction of inaccurate information
• Request deletion of information where applicable
• Ask questions about how your information is processed

Because much of the information accessed through the App is maintained by the organization's ERP system, requests concerning employee or business records may need to be handled by your organization's administrator or appropriate department.

15 Changes to This Privacy Policy

We may update this Privacy Policy from time to time.

When changes are made, we will update the Effective Date shown at the beginning of this policy.

We encourage users to review this Privacy Policy periodically for any changes.
